Quote it right, then actually make the margin

Itinerary, booking and costing systems for safari operators, tour companies and DMCs.

What it does

Tour Operator & Safari

A safari quotation has thirty moving costs in it — park fees per person per night, concession fees, crater service, camping, vehicle days, guide allowance, fuel, lodge rates that differ by season and by residency. Get one wrong and the margin is gone. Get the booking chain wrong and a client arrives at a lodge that has no record of them.

  • Itinerary builder by day, with accommodation, parks and activities
  • Quotation costing: park and concession fees, vehicle, guide, lodge, meals
  • Rate cards by season, by residency and by supplier contract
  • Client and agent quotations in dollars, euro or shillings
  • Booking confirmation chain — supplier requests, confirmations and vouchers
  • Vehicle and guide allocation with availability across overlapping safaris
  • Passenger manifests, dietary needs and flight details
  • Supplier invoices matched against bookings before payment
  • Agent and tour-operator commissions
  • Job profitability — quoted margin against actual cost after the safari
  • Payment schedule: deposit, balance and refund tracking

Tanzania

Tanzanian safari operating detail

  • Park fee structures — TANAPA and Ngorongoro fees costed per person per night by category, including concession and crater service fees.
  • Resident and non-resident rates — applied automatically from client nationality and residency documents.
  • TALA licence — operator licence and vehicle records maintained for inspection.
  • Foreign currency — quoting in dollars while paying suppliers in shillings, with the exchange effect visible in the margin.
  • Vehicle and guide compliance — permits, licences and insurance expiry alerts before a vehicle goes to the gate.

How we work

Scoped first, built in phases

We look at the process

Not a sales meeting. We sit with the people who do the work now and find where the time and money actually go.

You get a written scope

What will be built, what it costs, how long it takes, and what is explicitly out of scope. In writing, before anything starts.

Built in phases

The part that hurts most is delivered first and put into real use, so value arrives before the whole project is finished.

Trained and supported

Your staff are trained on the real system with real data, and support continues after go-live.

Runs on your own server if you want it to. Internet in Tanzania is not guaranteed. Systems can be installed on a machine at your premises so the business keeps working during an outage, syncing when the connection returns.

Frequently asked

Tour Operator & Safari — questions we get

Does it know current park fees?

Fee schedules are configured and updated when TANAPA and NCAA change them, by category and season, so a quotation uses the rate in force for the travel dates rather than today's rate.

Can it stop double-booking a vehicle or guide?

Yes. Allocation checks availability across all overlapping safaris, which is where operators most often come unstuck in peak season.

Does it show whether a safari actually made money?

Yes. Quoted margin is compared against actual supplier invoices and vehicle costs after the safari, per job.

Can agents get their own quotations and vouchers?

Yes, in their branding where required, with their commission applied automatically.
