Never lose a bid to an expired certificate

Tender pipeline, deadlines, compliance document control and bid costing for companies that sell to government and large buyers.

What it does

Tender & Bid Management

Tanzanian companies bidding for public and corporate work are disqualified for administrative reasons far more often than for price. A tax clearance that expired last week, a missing CRB certificate, a bid bond nobody arranged in time, a submission that went in two hours late. The commercial work was fine. The paperwork lost it.

  • Tender opportunity register with source, buyer, value and closing date
  • Deadline countdown with escalating reminders to named owners
  • Compliance document vault — TIN, VAT, tax clearance, CRB, NSSF, WCF, licences
  • Expiry tracking with alerts weeks before a certificate lapses
  • Per-tender document checklist generated from the buyer's requirements
  • Go / no-go assessment with scoring before effort is committed
  • Bid costing and pricing worksheets with margin visibility
  • Bid bond and performance bond tracking with expiry and release
  • Task assignment across the bid team with due dates
  • Version control on bid documents and final submission pack
  • Submission record — what was sent, when, by whom, with acknowledgement
  • Outcome recording: won, lost, disqualified, with reason
  • Win rate analysis by buyer, sector, value band and bid owner
  • Contract handover to delivery once a bid is won

Bidding in Tanzania

  • The document vault is the core — One controlled store of your statutory and company documents, with expiry alerting. Most disqualifications we hear about trace to a document that had quietly lapsed.
  • Public procurement — Structured for how Tanzanian public tendering actually works, including the standard compliance attachments buyers request and the discipline of submission deadlines that are enforced absolutely.
  • Bonds — Bid and performance bonds are tracked with issue, expiry and release, so guarantees are not left outstanding with a bank long after a tender closed.
  • Go / no-go — Scoring before committing effort is deliberately included. Bidding for everything is a common and expensive habit, and the win-rate analysis usually proves it.
  • Team accountability — Every checklist item has a named owner and a due date, so a missing attachment has an owner before the deadline rather than a post-mortem after it.

How we work

Scoped first, built in phases

We look at the process

Not a sales meeting. We sit with the people who do the work now and find where the time and money actually go.

You get a written scope

What will be built, what it costs, how long it takes, and what is explicitly out of scope. In writing, before anything starts.

Built in phases

The part that hurts most is delivered first and put into real use, so value arrives before the whole project is finished.

Trained and supported

Your staff are trained on the real system with real data, and support continues after go-live.

Start with the document vault. Even before the tender pipeline is used properly, loading your statutory documents with expiry alerts stops the most common and most avoidable cause of disqualification.

Frequently asked

Tender & Bid Management — questions we get

What does the document vault actually hold?

Company registration, TIN, VAT certificate, tax clearance, CRB and sector licences, NSSF and WCF compliance, audited accounts, CVs, past performance certificates — anything a buyer repeatedly asks for, with the current version and its expiry date.

How far ahead does it warn about expiry?

Configurable, and typically several weeks — enough time to actually obtain a renewal, which for some certificates takes longer than people plan for.

Can it tell us which tenders are worth bidding for?

It scores go / no-go against criteria you define and then reports actual win rates by buyer, sector and value band. After a few quarters that history is usually the most useful thing in the system.

Does it submit tenders for us?

No. It prepares, checks, tracks and records the submission. Submission itself is done through the buyer's own channel or portal.

Can several people work on one bid?

Yes, with tasks assigned to named owners, due dates, and version control so the pack that goes out is the one that was approved.
